Problem: With over 65,000 employees and 500TB of data, the challenge in this data clean-up project was a large percentage of orphaned file shares with no ownership.
Solution: We provided internal training, communication, and socialization of the overall goals with a “white glove” treatment in Change Management and a dedicated team of resources with a repeatable methodology.
Results: Over 15 months, 398 or 399 data owners completed data reviews, reducing the number of active file shares by 76%. We also identified 91% of active file shares with sensitive data and removed open access on 63% of file shares.
Problem: Hyundai’s 90-day email retention policy was suspended for over a year due to technology changes and shifting IT priorities. They were unable to comply with a legal corporate mandate to resume email disposition.
Solution: ID migrated legacy email records to M365 and implemented email tagging and records retention using Microsoft Purview. We also provided a Litigation Readiness Playbook and trained their IT/Legal team on how to perform effective eDiscovery in M365.
Results: Based on historical data, we expect Hyundai to eliminate 85% of their stored email volumes when disposition is turned back on, significantly reducing eDiscovery risk for future litigation.
Problem: Over 500 TB of unstructured data on network shares and personal home drives needed to be indexed and scanned for ROT and sensitive data prior to migration to M365.
Solution: ID used a proprietary IDentify product to locate data that could be quarantined and deleted. Data Owners were asked to only review items that were marked as low-probability ROT.
Results: Over 40% of data was quarantined for deletion, saving the client approximately $7 million in migration, storage, and litigation costs.
Problem: Pfizer regularly inherits large volumes of unknown, unstructured data through frequent mergers and acquisitions. The content:
Solution: ID used IBM classification technologies to index and analyze 60 TB of data. We built a model that reduced the number of Pfizer’s record categories from 187 down to 12 “big bucket” categories. The model successfully classified content 82% of the time on the first match (and over 90% of the time when looking at the first 5 matches).
Results: Pfizer was able to validate the content classifications, apply retention, and gain legal approval to do deletions. The project was so successful that they re-purposed the technology to quickly find contracts “in the wild” and assist with manufacturing site closures.
Problem: Black Hills decided to move to the Cloud and invested in M365. They needed to get a proper ROI on that investment by shutting down on-premise and legacy systems while maintaining their IG and RIM programs.
Solution: ID is helping Black Hills with a series of engagements, including SharePoint migration, IG implementation in M365, RIM modernization, and future projects including FileNet migrations.
Results: Black Hills needs to justify the ROI of its move to the cloud and M365. To achieve its goal, it will shut down its data centers in 2025. The migration activities of SharePoint and FileNet, along with the RIM modernization, are key elements to achieving that goal.
Problem: Sage’s privacy documentation was more than five years old. ID was brought in after an external consulting firm completed an assessment to remediate the findings. During the project, Sage suffered severe financial difficulties and drastic staff reductions, including the original project sponsor.
Solution: ID created data inventories/mapping with business stakeholders for privacy compliance.
Results: 50 business processes containing PII and PHI were documented, along with 200 assets. We established credibility and Sage submitted a budget for a part-time outsourced CPO to build a privacy office. Information Governance Technology Stack
